Job Title: CAJ/iLAC Administrator
Department: Centre for Access to Justice, UCL Faculty of Laws
Location: UCL Integrated Legal Advice Clinic, Stratford, and UCL Centre For Access to Justice, Bentham House. The Administrator will be based at the UCL iLAC in Stratford three days a week and based at the CAJ office in Bloomsbury two days per week.
Salary: £16.76 per hour
Hours: 35 Hours/week
Available: Immediately
Responsible to: CAJ, Clinic Manager & Projects Coordinator
This post is available for 5 months in the first instance and may be extended subject to funding and staffing needs.
About us:
The Centre for Access to Justice aims to provide significant benefit to, and strengthen links between, the local community, UCL students and the legal profession. Importantly, the Centre combines the unique advantages of social justice education with the provision of pro bono legal advice to vulnerable communities.
In January 2016, the UCL Centre for Access to Justice (CAJ) launched its own legal advice clinic, the UCL Integrated Legal Advice Clinic (UCL iLAC), working with students to deliver advice across a broad spectrum of social welfare issues as well as specialist casework services in welfare benefits, housing, community care, and education law. In 2018, UCL iLAC was awarded a legal aid contract in the categories of housing and community care law. In 2022, the clinic was awarded a Legal Aid Lawyer of the Year award. In 2024, UCL iLAC also secured a welfare benefits legal aid contract.
The Centre for Access to Justice also provides oversight and management of the UCL Laws Pro Bono Programme, facilitating a broad range of projects for UCL students to get involved in. These range from student-led projects to others organised with partner organisations or otherwise wholly administered and run by the CAJ.
About the role:
The postholder will work between the UCL Integrated Legal Advice Clinic office in Stratford, and the UCL Centre for Access to Justice office in Bloomsbury. The administrative assistant will work with staff to support the day-to-day running of the UCL Integrated Legal Advice Clinic and the UCL Laws Pro Bono Programme.
Duties and Responsibilities
Responsibilities at UCL iLAC
- Be the first point of contact for UCL iLAC client enquiries and assist with new enquiry management.
- Be responsible for answering the clinic phone and uphold clinic policies and procedures.
- Support the Clinic Manager with supervision of student volunteers carrying out initial triage, arranging appointments, signposting etc.
- Contribute to maintaining detailed, accurate and updated client records according to UCL iLAC case management systems.
- Assist with data collection, sending routine letters and making client appointments and file management.
- Support the Clinic Manager with data protection, retention and destruction processes and ensure that data is retained and destroyed in accordance with clinic policies.
- Support Clinic staff with coordinating clinic projects with partner organisations.
Responsibilities with the UCL Centre for Access to Justice
- Support the Projects Coordinator with updating the UCL Centre for Access to Justice website and student resources.
- Assist the Projects Coordinator with responding to student enquiries.
- Support with management of student recruitment, training, and DBS checks for the Centre’s external volunteer opportunities.
- Maintain accurate records of students who are undertaking pro bono with the Centre and support with tracking their completion of the Centre’s mandatory training.
- Assist with logistics for Centre for Access to Justice events, including room bookings, advertisement, and set-up.
- Assist with other ad hoc administrative tasks.

- The post holder will be expected to actively follow UCL policies including Equal Opportunities policies.

Person Specification
Essential
- Experience in customer facing or administrative role.
- Excellent written and verbal communications skills with the proven ability to communicate non-routine matters clearly, both verbally and in writing.
- Experience of organising your own work within deadlines and with competing demands. Able to work proactively under pressure and meet tight deadlines.
- Demonstrable experience of being able to work effectively both independently and collaboratively as part of a team.
- Ability to use IT to monitor and maintain casework systems and procedures.
- Excellent organisational skills are essential.
- Excellent IT skills, including proficiency in Microsoft Office packages (Word, Excel, PowerPoint), databases, email, social media.
- Excellent interpersonal skills with the ability to develop relationships with a broad range of stakeholders including partner organisations, staff and students.
- Ability to uphold key clinic policies and procedures about Confidentiality, Safeguarding and Data Protection
